How do I create a rule in Entourage 2004/2008 that will filter unwanted e-mail messages from my VT Mail account?

Answer:

The best way to avoid unwanted e-mail (often known as spam) is to protect the privacy of your e-mail address. This article offers a tactic for filtering unwanted messages using header information once your address has become known to those who send mass mailings. The Virginia Tech mail servers tag all incoming e-mail that they suspect to be unsolicited messages (also known as spam) with a special header string beginning with "X-Junkmail" or "X-JunkMail". To filter messages with this header, create a new folder. Then, using the Rules Wizard tool, create a rule that puts messages with the "X-Junkmail:" or "X-JunkMail:" header into that folder. To do this:

Important: Mail must come through the Virginia Tech mail servers in order to apply this rule. These instructions will not work if you forward your VT Mail messages to an outside mail account, such as Yahoo! or Hotmail.

To create a junk mail rule in Entourage:

  1. Start Entourage.
  2. From the File menu, select New, and then select Folder.
  3. In the new text box, type: Junk Mail
  4. Press the Return key.
  5. From the Tools menu, select Rules.
  6. Click the New button.
  7. In the Rule Name text box, type: Junk Mail
  8. Under If: From the first drop-down list, select Any Header.
  9. From the second drop-down list that appears, select Contains.
  10. In the text box, type: X-Junkmail:
  11. Click the Add Criterion button.
  12. From the Execute drop-down list, select If Any Criteria Are Met.
  13. Under If: From the first drop-down list that now appears, select Any Header.
  14. From the second drop-down list that now appears, select Contains.
  15. In the text box , type: X-JunkMail:
  16. Under Then: From the first drop-down list, select Move Message.
  17. From the second drop-down list, select Choose folder... .
  18. Select the Junk Mail folder.
  19. Click the Choose button.
  20. Click OK.
  21. Close the Rules window.
Important: Be sure to check the contents of your junk mail folder before deleting the e-mail messages. The mail system's spam filters may sometimes mark messages that you want to receive as junk mail.
